How to hire a bookkeeper when local options are limited

A practical checklist for rural and northern Canadian business owners choosing a remote bookkeeper — what to ask, what to avoid and how onboarding works.

If the nearest bookkeeping office is hours away, a remote bookkeeper can do the same monthly work online. The key is choosing someone who is organized, secure and clear about what is included.

Questions to ask before you hire

  • Which software do you work in (QuickBooks Online, Xero)?
  • How do I send documents — a secure portal, or plain email?
  • What is included in the monthly fee, and what is quoted separately?
  • When will I get monthly reports?
  • How fast do you reply, and are calls by appointment?

Keep control of your accounts

Invite your bookkeeper as an accountant user in QuickBooks or Xero rather than sharing your login. For CRA, use the Represent a Client authorization rather than giving out passwords.
