Privacy contact, Averon Accounting Ltd. — admin@averonaccounting.ca or 250-261-9879. This person is responsible for how we handle personal information.

What we collect and why

• Contact details (name, email, phone, business name, province) — to reply to your enquiry, book a call and run your account.
• Enquiry details (services needed, business size, how far behind the books are) — to assess fit and give you a quote.
• Business records you upload after signing in (registration, GST/PST numbers, bank, card and loan statements, receipts, invoices, payroll details) — to do your bookkeeping, payroll and filings.
• Account and security information (sign-in times, consent records, upload and download activity) — to keep your account secure and prove consent.
• Website usage (pages visited, buttons clicked) through Google Analytics, only if you accept analytics cookies — to improve the website. Client area and sign-in pages are excluded.

We do not ask for your SIN, CRA username or password, or banking passwords. Please never send them to us.

Consent and how to withdraw it

We ask for your consent when you send an enquiry or create an account, and we record the date, the policy version and the page you used. Marketing emails are a separate, optional choice. You can withdraw consent at any time by emailing us; withdrawing may mean we can no longer provide some services, and we may still need to keep some records where the law requires it.

Who we share it with

We use these kinds of service providers, only as needed to deliver our services:

• Website hosting, database and private file storage for the client area
• Email and text-message delivery (for sign-in codes and notices)
• Cloud accounting software such as QuickBooks Online or Xero
• An automated reading tool that helps sort uploaded statements and receipts
• Website analytics (only with your cookie consent)
• The Canada Revenue Agency and other government bodies, for filings you authorize

Some of these providers may store or process information outside Canada, including in the United States, where it may be subject to local laws.

How we protect it

Client documents are kept in private storage that only you and authorized Averon staff can open. Downloads use links that expire. Uploads, downloads and staff access changes are logged. See client portal security.

How long we keep it

See data retention and deletion. In short: business and tax records are generally kept for six years after the end of the tax year they relate to, as CRA requires; enquiries that don't become clients are deleted within two years.

Access, correction and deletion

You can ask to see, correct or delete the personal information we hold about you. Email admin@averonaccounting.ca. We will confirm who you are and respond within 30 days.

Privacy incidents

If a privacy breach could cause you significant harm, we will tell you as soon as reasonably possible, explain what happened and what you can do, and notify the relevant privacy regulator where required.

Changes to this policy

We will update the date and version above when this policy changes.
